Complete your BarberSlot setup with our guided onboarding wizard

The onboarding wizard helps you get BarberSlot set up quickly and correctly. It guides you through essential configuration steps so you can start taking bookings right away.

When Does Onboarding Start?

The onboarding wizard automatically appears:

  • First login: When you access BarberSlot for the first time
  • Incomplete setup: If you skipped onboarding and haven’t completed essential setup
  • Manual trigger: You can restart it anytime from Settings → Account → “Run Onboarding Again”

Onboarding Steps

The wizard consists of 4 main steps:

Step 1: Welcome & Profile Setup

What it asks:

  • Your name and professional title (e.g., “Master Barber”, “Hair Stylist”)
  • Shop name and address
  • Contact phone number
  • Profile photo (optional but recommended)

Why it matters: Your profile is what customers see when booking. A complete profile with a photo builds trust and professionalism.

Tips:

  • ✅ Use a professional photo (headshot or action shot at work)
  • ✅ Include your specialty in your title (e.g., “Fade Specialist”, “Color Expert”)
  • ❌ Don’t skip the profile photo - it increases booking conversion by ~40%

Step 2: Services Setup

What it asks: You’ll define the services you offer. For each service:

  • Service name (e.g., “Men’s Haircut”)
  • Duration (e.g., 30 minutes)
  • Price (e.g., €25)
  • Category (e.g., “Haircuts”, “Coloring”, “Treatments”)

Service Templates: To speed things up, we provide templates:

  • Classic Barbershop: Men’s cuts, beard trims, hot towel shaves
  • Modern Salon: Cuts, coloring, treatments, styling
  • Specialized: Fade shop, kids cuts, bridal services

Tips:

  • ✅ Start with a template and customize
  • ✅ Use clear, customer-friendly names (not jargon)
  • ✅ Round prices to the nearest €5 or €10 (easier mental math for customers)
  • ✅ Set realistic durations (include buffer time for cleanup)

Add-On Services: You can also set up add-ons (optional extras):

  • Example: Base service “Men’s Haircut” + add-on “Beard Trim”
  • Customers can select add-ons during booking
  • Total time and price calculate automatically

Step 3: Weekly Schedule

What it asks: Your regular working hours for each day of the week.

Schedule Templates: Choose from common patterns:

  • Monday-Friday, 9am-6pm: Standard business hours
  • Tuesday-Saturday, 10am-7pm: Typical barber schedule
  • Custom: Set your own hours

What to configure:

  • Working days: Which days you work
  • Start time: When you take your first appointment
  • End time: When you take your last appointment
  • Lunch break: Optional break time (e.g., 1pm-2pm)
  • Slot duration: How often bookings can start (e.g., every 30 minutes)

Example Schedule:

Monday: 9:00 AM - 6:00 PM (Lunch: 1:00 PM - 2:00 PM)
Tuesday: 9:00 AM - 6:00 PM (Lunch: 1:00 PM - 2:00 PM)
Wednesday: OFF
Thursday: 9:00 AM - 8:00 PM (Lunch: 1:00 PM - 2:00 PM)
Friday: 9:00 AM - 8:00 PM (Lunch: 1:00 PM - 2:00 PM)
Saturday: 8:00 AM - 5:00 PM (No lunch break)
Sunday: OFF

Tips:

  • ✅ Block out breaks (lunch, etc.) - they won’t show as available
  • ✅ Leave buffer time at the end of the day for cleanup
  • ✅ Set slot duration equal to your shortest service
  • ❌ Don’t overbook yourself - include time for walk-ins and delays

Step 4: First Booking (Practice)

What it does: The wizard walks you through creating a test booking so you understand the flow.

You’ll practice:

  1. Selecting a time slot on the calendar
  2. Choosing a customer (you can use a fake customer)
  3. Selecting a service
  4. Confirming the booking
  5. Seeing the confirmation notification

Why practice matters: Creating a test booking helps you understand what your customers experience and ensures everything is configured correctly.

Completing Onboarding

When you finish all 4 steps:

✅ Your profile is complete ✅ Your services are defined ✅ Your schedule is set ✅ You’re ready to take real bookings!

The system will:

  • Mark your onboarding as complete
  • Redirect you to the main dashboard
  • Send you a welcome email with next steps

Skipping Steps

You can skip steps during onboarding, but it’s not recommended:

  • ⚠️ Skipped services = customers can’t book anything
  • ⚠️ Skipped schedule = no available time slots
  • ⚠️ Skipped profile = unprofessional appearance

If you skip steps, you’ll see warnings on your dashboard until you complete them.

Editing After Onboarding

Everything you set up in onboarding can be changed later:

  • Profile: Settings → Account
  • Services: Services menu
  • Schedule: Schedules menu

Resuming Incomplete Onboarding

If you exit onboarding before finishing:

  • Your progress is saved
  • A notification appears on your dashboard
  • Click “Complete Setup” to resume where you left off

Onboarding Status

Check your completion status:

  1. Go to Settings → Account
  2. Scroll to “Onboarding Status”
  3. See which steps are complete ✅ or pending ⏳

Troubleshooting

Problem: “I can’t find the template I want” Solution: Choose “Custom” and build your services manually, or start with the closest template and modify it.

Problem: “The wizard disappeared and I didn’t finish” Solution: Go to Settings → Account → “Run Onboarding Again”

Problem: “Customers aren’t seeing my available times” Solution: Make sure you completed Step 3 (Schedule Setup). Check that your working hours are set correctly.

Problem: “I want to change my services after completing onboarding” Solution: Go to Services menu → Edit or add new services anytime.
