Define your services, pricing, categories, and add-ons to streamline customer bookings

Services are what you offer to customers. Properly configured services make booking smooth, set clear expectations, and ensure accurate pricing.

Understanding Services

A service in BarberSlot has:

  • Name: What customers see (e.g., “Men’s Haircut”)
  • Duration: How long it takes (e.g., 30 minutes)
  • Price: How much it costs (e.g., €25)
  • Category: Group it belongs to (e.g., “Haircuts”)
  • Description: Optional details for customers
  • Add-ons: Optional extras customers can select

Service Categories

Categories help organize your services menu for customers.

Default Categories

BarberSlot provides common categories:

  • Haircuts: Cuts, trims, fades
  • Beard: Beard trims, shaves, grooming
  • Coloring: Hair color, highlights, touch-ups
  • Treatments: Conditioning, scalp treatments
  • Styling: Blow-dry, formal styling
  • Other: Miscellaneous services

Creating Custom Categories

  1. Go to Services → Categories
  2. Click “Add Category”
  3. Enter category name (e.g., “Kids Cuts”)
  4. Choose display order
  5. Save

Categories help customers navigate: “Show me all beard services” rather than scrolling through everything.

Creating a Service

Method 1: Quick Add

  1. Go to Services menu
  2. Click “Add Service”
  3. Fill required fields:
    • Service name
    • Duration
    • Price
    • Category
  4. Click “Save”

Done! Service is now bookable.

Method 2: Detailed Add

For more control:

  1. Services → “Add Service” → “Advanced”
  2. Fill all fields:
    • Name: Clear, customer-friendly
    • Internal name: Optional (for your reference)
    • Category: Select from dropdown
    • Duration: Minutes (15, 30, 45, 60, 90, 120…)
    • Price: Amount in your currency
    • Description: Optional details shown to customers
    • Visibility: Public (bookable) or Private (manual only)
  3. Advanced options:
    • Allow add-ons
    • Require deposit
    • Custom booking rules
  4. Save

Service Pricing

Setting Prices

Standard pricing: One price for everyone

  • Example: Men’s Haircut = €25

Custom pricing per barber: Each barber can override the base price

  • Shop price: €25
  • Marco’s price: €30 (senior stylist premium)
  • Luca’s price: €25 (standard)

To set custom pricing:

  1. Services → Select service
  2. Click “Custom Pricing”
  3. Set price per barber
  4. Save

Price Display

Customers see:

  • Service name
  • Duration
  • Price (or price range if barbers have different prices)

Example display:

Men's Haircut
30 minutes
€25 - €30

Deposit/Prepayment (Coming Soon)

Future feature:

  • Require deposit for high-value services
  • Reduce no-shows
  • Partial payment upfront

Currently: All payments collected in person.

Service Duration

Why Duration Matters

Duration affects:

  • Available slots: System calculates end time automatically
  • Schedule gaps: Prevents overbooking
  • Customer expectations: They know how long to expect

Setting Accurate Durations

Include time for:

  • ✅ Actual service time
  • ✅ Consultation (if needed)
  • ✅ Cleanup between clients
  • ❌ Don’t pad too much (inefficient schedule)

Examples:

  • Men’s Haircut: 30-45 minutes
  • Beard Trim: 15-20 minutes
  • Color Treatment: 90-120 minutes
  • Kids Cut: 20-30 minutes

Tip: Round to nearest 15-minute increment for clean scheduling.

Variable Duration Services

If service time varies widely:

Option 1: Create variations

  • Haircut - Short: 30 min
  • Haircut - Medium: 45 min
  • Haircut - Long: 60 min

Option 2: Use conservative estimate

  • Haircut: 45 min (enough for most)
  • If it takes less, you have buffer time

Option 3: Use add-ons

  • Base Haircut: 30 min
  • Add-on “Complex Styling”: +15 min

Add-On Services

Add-ons are optional extras customers can add to their base service.

How Add-Ons Work

Base service: Men’s Haircut (30 min, €25)

Add-ons available:

  • Beard Trim (+15 min, +€10)
  • Hot Towel Shave (+20 min, +€15)
  • Scalp Massage (+10 min, +€8)

Customer books:

  • Men’s Haircut + Beard Trim
  • Total: 45 min, €35
  • System calculates automatically

Creating Add-On Services

  1. Create the add-on as a regular service first
  2. Check “This is an add-on”
  3. Select parent service(s) it can be added to
  4. Configure display mode:
    • Always show: Appears for all bookings
    • Category match: Only shows for services in same category
    • Parent specific: Only shows for selected services
  5. Set “Exclusive” if customer can only add one from group
  6. Save

Example configuration:

Add-on: “Beard Oil Treatment”

  • Is add-on: ✅ Yes
  • Parent services: All beard services
  • Display: Parent specific
  • Exclusive: No (can combine with other add-ons)

Add-On Display Modes

ALWAYS Mode

  • Shows on every booking
  • Use for: Universal add-ons (e.g., “Express Service” - rush for +€10)

CATEGORY Mode

  • Shows only for services in matching category
  • Use for: Related services (e.g., “Highlights” only for coloring services)

PARENT Mode (most common)

  • Shows only for specific parent services
  • Use for: Targeted upsells

Exclusive Add-Ons

Mark add-ons as exclusive when customer should pick only one:

Example: Hair Length Options

  • Short Hair (+€0)
  • Medium Hair (+€5)
  • Long Hair (+€10)

Set as exclusive group → Customer picks one, not all

Service Visibility

Control which services appear in booking app:

Public Services

  • Visible to all customers
  • Bookable online
  • Appear in service menu

Use for: Standard offerings

Private Services

  • Hidden from public booking
  • Only bookable by barber manually
  • Useful for: VIP services, discontinued services, by-appointment-only

To make service private:

  1. Edit service
  2. Toggle “Public visibility” to OFF
  3. Save

Barber-Specific Services

In multi-barber shops, barbers can offer different services.

Assigning Services to Barbers

Shop-level service (default): All barbers offer this service

Barber-specific:

  1. Go to Services → Select service
  2. Click “Availability”
  3. Toggle barbers who offer this service
  4. Save

Example:

  • “Beard Trim”: All barbers ✅
  • “Razor Fade”: Only Marco ✅, Only Giovanni ✅
  • “Hair Coloring”: Only Luca ✅

Customer experience: When booking “Hair Coloring”, only Luca appears as available barber.

  • Men’s Haircut (30 min, €25)

  • Beard Trim (15 min, €10)

Modern Salon

  • Women’s Cut (45 min, €35)
  • Men’s Cut (30 min, €25)
  • Highlights (90 min, €80)
  • Blow Dry (30 min, €20)
  • Color + Cut (120 min, €110)

Barber + Beauty

  • Haircut (30 min, €25)
  • Fade (45 min, €30)
  • Beard Sculpting (20 min, €15)
  • Eyebrow Trim (10 min, €8)

Specialized Fade Shop

  • Classic Fade (45 min, €30)
  • Skin Fade (45 min, €35)
  • Drop Fade (50 min, €35)
  • Temp Fade (45 min, €30)
  • Burst Fade (50 min, €35)

To use template:

  1. Services → “Import from Template”
  2. Select template
  3. Review services (edit prices/durations as needed)
  4. Click “Import”
  5. Services added to your account

Managing Services

Editing Services

  1. Go to Services menu
  2. Find service to edit
  3. Click “Edit”
  4. Modify any field
  5. Save

⚠️ Existing bookings: Not affected by changes. Only new bookings use updated info.

Deleting Services

Option 1: Delete (permanent)

  1. Services → Select service
  2. Click “Delete”
  3. Confirm

⚠️ Cannot delete services with future bookings

Option 2: Archive (hide but keep)

  1. Services → Select service
  2. Click “Archive”
  3. Service hidden from public, but data preserved

Best practice: Archive instead of delete (preserves historical data)

Reordering Services

Change how services appear to customers:

  1. Services menu
  2. Click “Reorder”
  3. Drag and drop to desired order
  4. Save

Tip: Put most popular services at top

Service Descriptions

Optional but recommended - helps customers understand what they’re booking.

Writing Good Descriptions

Example: Basic

Men's Haircut
A professional haircut tailored to your style.

Example: Detailed

Men's Haircut
Includes consultation, precision cut with scissors and/or clippers,
styling, and finishing products. Choose from classic cuts, fades,
modern styles, or bring a photo for reference.

Tips:

  • ✅ Be specific about what’s included
  • ✅ Mention popular styles offered
  • ✅ Note if consultation is included
  • ✅ Keep it concise (2-3 sentences)
  • ❌ Don’t use jargon customers won’t understand

Common Service Setups

Setup 1: Simple Barbershop

5 core services, no add-ons:

  • Haircut (30 min, €20)
  • Buzz Cut (15 min, €12)
  • Beard Trim (15 min, €8)
  • Haircut + Beard (40 min, €25)
  • Kids Cut (25 min, €15)

Best for: Solo barber, straightforward offerings

Setup 2: Upsell-Focused

Base services + add-ons:

Base:

  • Haircut (30 min, €25)

Add-ons:

  • Beard Trim (+15 min, +€10)
  • Hot Towel (+5 min, +€5)
  • Scalp Massage (+10 min, +€8)
  • Premium Products (+0 min, +€5)

Best for: Maximizing revenue per booking

Setup 3: Tiered Pricing

Different levels based on barber:

Service: “Haircut”

  • Junior Barber: €20 (30 min)
  • Senior Barber: €30 (30 min)
  • Master Barber: €40 (45 min)

Best for: Large shops with barbers at different experience levels

Troubleshooting

Problem: “Service not appearing in booking app”

  • Check visibility is set to “Public”
  • Verify it’s assigned to at least one barber
  • Check category isn’t hidden
  • Refresh booking page

Problem: “Add-on not showing for service”

  • Verify add-on is linked to parent service
  • Check display mode settings
  • Ensure add-on is marked as “is add-on”

Problem: “Price not updating for customers”

  • Clear browser cache
  • Check you saved changes
  • Verify barber has service enabled with updated price

Problem: “Duration causing schedule conflicts”

  • Review actual service time
  • Consider adding buffer in duration
  • Check if services overlap on calendar
